Receive a purchase request

Record received quantities and auto-restock inventory into branch rooms.

Overview

Receiving a PR records what actually showed up from the supplier — which can differ from what was ordered — and auto-restocks the matching quantities into the target rooms you pick.

When to use it

  • Goods arrived from a supplier and need to be added to branch stock
  • Received quantity differs from ordered quantity (short shipment, over-shipment)
  • Allocating received items across multiple rooms (e.g., main storage vs. back-of-house)

How to use it

  1. Go to Suppliers → Purchase Requests.
  2. Find the PR — it must be APPROVED.
  3. Open the row action menu and choose Receive.
  4. For each line item:
    • Enter the received quantity (defaults to ordered quantity).
    • Pick the target room for that item.
  5. Set the received date if different from today.
  6. Click Confirm — status moves to RECEIVED and stock is auto-created in the chosen rooms.

Tips & gotchas

  • Received qty can differ from ordered qty — short or over shipments are supported.
  • Target room is per line item, so different products can go to different rooms.
  • Once RECEIVED, the PR is final — you cannot cancel or edit it.
  • Stock movements are logged in each room's audit trail.
